LMS Course Retention & Retirement
Learning management system (LMS) courses are subject to removal from the system two (2) years following the end of the semester in which they are taught. For example, courses taught in Spring 2024 will be removed after May 2026.
Learning management system (LMS) courses created administratively rather than through the course registration system, referred to as non-integrated courses, are subject to removal following two (2) years of inactivity.

- Retention is the process that determines which courses to retain in the LMS.
- Retirement is the process of identifying courses within scope for removal, archiving the courses, and removing the courses from the LMS.

Panopto Content Retention & Archives
At the time of review, recordings will be archived 2 years after their last viewed date. If not restored, archived recordings will be permanently deleted 2 years after they are archived. For example, Panopto content last viewed in November of 2024 will be subject to archive November of 2026 and, if not viewed, permanently deleted November of 2028.
Any exemptions will be periodically reviewed and updated to maintain relevance. Further exemptions may be granted upon request and review by the Center for Instructional Technology.

OTIDE Content in Panopto
Recordings in the OTIDE Department folder will be automatically archived if they have not been viewed for two years at the time of review. Recordings that continue to be viewed will be archived 10 years after their creation date. Once a recording is archived, if not restored, it will be permanently deleted one year after they are archived.
For example: OTIDE media content created in/uploaded to Panopto in 2023 with no views will be archived in 2025 and permanently deleted in 2026. Content that remains active and is viewed will be archived ten years after creation (e.g., content from 2023 will be archived in 2033).
Scope
This procedure applies to media content produced by the Office of Teaching Innovation and Digital Education. Materials such as instructor-designed content or media will fall under the purview of the University of Alabama’s general Panopto Retention Procedure. “Instructor-designed content or media” includes, but is not limited to, Panopto hosted videos that were not created, edited, or produced by the OTIDE Creative Academic Media Services team.
